The primary function of the Central Secretariat is to service the meetings of the main governance bodies of the Church of England. These are the Archbishops’ Council, General Synod, House of Bishops and associated Boards and Committees.
As Events Manager, you will be responsible for coordinating the practical arrangements for the major governance meetings operated by the Central Secretariat as well as the organisation of some of their sub-committees. This is done in conjunction with support staff and other colleagues, working closely with the offices of the Archbishops in Lambeth Palace and Bishopthorpe Palace.
The main activities include: organising the twice-yearly meetings of the General Synod in London (February) and York (July), organising the meetings of the House of Bishops in May and December (plus additional contingency meetings), the College of Bishops (September and January) and organising the practical arrangements for smaller sub-committees of the House.
With experience of organising high-profile and complex events for large numbers of people, you will be a confident manager, with the ability to lead and motivate staff. Together with excellent communication skills, you will bring your IT knowledge, ability to multitask and flexible approach to the role which will involve residential meetings and longer working hours during meetings of the Synod in London.

The Role :
General Synod logistics
Responsible for the overseeing the delivery of the domestic arrangements for meetings of the General Synod (the Church of England’s legislative and deliberative body), including one 5-day residential and one or two non-residential meetings of up to 5 days each.
Responsible for the budget, logistics and organisation of both types of meeting, committing expenditure of about £300 K, most of that cost being re-charged out to the dioceses
Responsible for liaison with Conference Centre staff in London and York about technical facilities, accommodation and catering for meetings
Responsible for accommodation arrangements at the residential meeting in York, including preparing booking forms and circulating these to some 550 members and staff, ensuring that booking information is entered accurately on the Synod database, and being the primary contact with Conference Centre staff during the meeting itself
Responsible for co-ordinating and overseeing a team of 10-12 support staff at meetings of the Synod, including the drawing up of appropriate rotas
Oversight of arrangements for fringe meetings and displays and consideration of their suitability in accordance with Business Committee’s guidelines
Responsible for administrative arrangements for the inauguration of the new General Synod every 5 years
Responsible for checking and authorising/recommending payment of invoices from the London and York conference offices and resolving queries with London and York conference offices
Responsible for the accounting arrangements for the Synod in London and York, including the charging out of costs of residential Synod and fringe meetings
Responsible for billing dioceses, Synod members and the general public for the residential Synod and fringe meetings in London and York, and dealing with any queries arising from the amount charged to diocesan officials, Synod members and other recipients of invoices
Responsible for copy editing a range of reports and papers for the General Synod and ensuring that sufficient quantities of papers are printed for circulation and uploaded onto the Church of England website
Responsible for preparing circulations of material for the General Synod and organising their efficient despatch (about 12 circulations per annum)
Responsible for supporting members through induction material, telephone and written enquiries and ‘on site’
Responsible for developing the General Synod and Central Secretariat pages on the Church of England website, including the electronic publication of General Synod papers
Responsible for developing and maintaining the Central Secretariat pages on the Intranet
Preparing and presenting occasional papers to the Business Committee on organisational matters for the General Synod
Assisting the Chairs chairing items at meetings of General Synod
House of Bishops
Overseeing the logistical arrangements for meetings of the House and College of Bishops, (including up to two 24-hour residential meetings and one 72 hour residential annually), each meeting including a mix of business and worship and in some cases some input from outside speakers.
Supporting the practical arrangements for meetings of sub-committees of the House of Bishops (venues, distribution of papers, catering etc), in liaison with the Committee Chair and relevant staff
Co-ordinating with the organisers of other groupings allied to the House of Bishops requiring support with venue organisation (Broken Rites etc)
The Requirements for the Role :
Experience of organising high-profile and complex events for large numbers of people
Experience of leading, managing and motivating staff
Excellent written and oral communication skills and IT skills required
Ability to manage and lead a team and to work in a larger team
Strong organisational and events management skills
Ability to work under pressure and stay calm
Ability to retain professional neutrality amidst events handling controversial matters
Must be willing to spend a week in July at the residential meeting of the General Synod in York where there is a long working day and to work longer hours during meetings of the Synod in London.
Willingness to attend residential meetings of House of Bishops and College of Bishops where appropriate to oversee their organisation and delivery
Knowledge of structures and workings of the Church of England or other major national public institution
Experience of working with spreadsheets and databases would be an advantage
Project management qualification
