The Central Secretariat services the institutional and governance role of the Church of England. The main bodies it services are the Archbishops’ Council, the General Synod, its three Houses and other Synodical bodies.

The General Synod of the Church of England is the legislative body of the Church of England, made up of three houses – The House of Bishops, Clergy and Laity. The legislation it passes becomes part of UK law and is subject to Parliamentary Approval and Royal Assent. The Business Committee plans the Agenda and oversees the organisation of General Synod meetings. The Appointments Committee makes appointments and recommendations for appointments to synodical and other bodies as required by the Synod or the Archbishops’ Council.

The Archbishops’ Council provides within the Church of England, a focus for leadership and executive responsibility and a forum for strategic thinking and planning. It oversees the Archbishops’ Renewal and Reform initiative.

As Executive Officer in the Synod Office, you will provide administrative support to the Director of Central Secretariat and the Boards and Committees serviced by the Director and her team.

A key part of this role will involve acting as Assistant Secretary to the General Synod Business committee which is serviced by the Director of Central Secretariat in her role as Clerk.

As a member of the General Synod support team prior to and during General Synod meetings, your role will be interesting and varied and will include assembling documents and material, logistical arrangements, processing ‘Requests to Speak’ and maintenance of the General Synod website.

With previous office experience and a friendly, approachable and efficient manner, you will have the confidence to communicate with people at all levels, dealing appropriately with confidential matters and sensitive issues.

Competent in the use of IT with a comprehensive knowledge of systems and processes, your attention to detail and ability to prioritise will ensure that you are well organised, completing tasks accurately and on time.

The Role :

Administrative Support for the General Synod Business Committee

  • Assisting the Director of Central Secretariat in servicing the Business Committee of the General Synod, preparing agendas and papers, handling correspondence, arranging meetings and taking minutes.
  • Assisting with the staffing of any Business Committee working groups.
  • Arranging and attending one annual overnight residential for the Business Committee

General Synod Support

  • Assisting the Director of Central Secretariat in assembling material for the General Synod Agenda and papers
  • Assisting the Events Manager with the logistical arrangements and organisation of General Synod meetings
  • Processing Requests to Speak during meetings of the General Synod
  • Overseeing the contractors with responsibility for producing the General Synod Report of Proceedings
  • Maintaining the list of Private Members’ Motions and Diocesan Synod Motions
  • Forming part of the Synod Support Team at meetings of the General Synod – including a 7 day residential meeting in York every July.
  • Maintenance of the General Synod website
  • Taking on special Synod-related projects at the request of the Clerk and Events Manager eg Synod accessibility, roll-out of new App and email address etc

Other duties

  • Assisting the Head of Governance Services and Outreach with the administration of Synod Elections and elections to Synodical Boards and Committees
  • Providing administrative support for the Archbishops’ Council (including 2 annual residentials) and Appointments Committee of the Church of England, including help with setting up meetings, preparing papers, handling correspondence, updating the website and taking minutes where required.
  • Some general administrative support to the Director and other senior members of the team

  • Fast, accurate and well-presented typing skills
  • Excellent and demonstrable IT knowledge, including advanced knowledge of the use of Microsoft office Suite, especially Excel, Access, Outlook and SharePoint.
  • Proven track record in the use of databases, word processing skills, spreadsheets and Contact Management Systems
  • Attention to detail

Knowledge/Experience:

  • Previous office experience, demonstrating a proven track record in providing administrative support in a busy office and prioritising competing tasks.

Education

  • Good numeracy and written skills in order to communicate effectively orally and in written form and to manage costs/budgets etc.
