An exciting opportunity has arisen for an administrator with experience to work within the Diocese of Exeter’s Mission and Ministry Team to provide an efficient and effective administrative and organisational support service that promotes effective communication internally and externally with mission communities.

The Diocese of Exeter is currently operating a hybrid pattern of office- and home-based working; as we emerge from the pandemic, the normal place of work will be diocesan offices in central Exeter with the possibility of some home working if requested. There is the expectation of occasional travel throughout the county of Devon (including Plymouth and Torbay), occasionally on evenings and at weekends.

Relationship Building

  • Able to develop understanding and effective relationships with clergy, parochial officers, the Bishop’s Staff and Old Deanery employees.

Mission and Ministry Administration

  • Able to anticipate needs of the director and members of the team and act accordingly.
  • Undertake duties, specific projects/ad hoc tasks that may be reasonable to expect.

Communications:

  • Answer incoming calls from parishes and clergy or other parties.
  • Make outgoing calls as required, to follow up enquiries and as requested by team members.
  • Liaise with other departments, other key external personnel and volunteers.

Secretarial:

  • Deal with incoming and outgoing post and emails.
  • Prepare letters and manage printing/ photocopying requests as necessary.
  • Maintain diaries and arranging appointments.
  • Ordering resources.
  • Processing invoices and monitoring budgets.
  • Proof reading and distributing documents.

Assistance:

  • Receive and accurately record bookings for training events.
  • Making travel arrangements for visiting speakers and members of the department.
  • Book rooms and venues for training events.
  • Order catering for training events.
  • Make travel arrangements for visiting speakers and members of the team.

Hospitality:

  • Welcome visitors to the team and/or events
  • Assist with hosting training events: prepare coffee, sign in sheets, welcome participants, clear up.

Communications

  • Actively contribute to a culture of positive communication.
  • Engage with colleagues and actively participate in team communications and team meetings.
  • Ensure effective written, verbal and IT communication within the diocese, with all EDBF employees, volunteers, visitors and external contacts and suppliers.
  • Able to alert team to emerging issues and to work collaboratively to resolve them.

Information Management

  • Ensure all information received via e-mail, telephone etc. is communicated accurately and in a timely manner to appropriate personnel.
  • Accurate data inputting onto database and spreadsheets, within required timescales.
  • Keep accurate notes, correspondence and records and place on file as appropriate.
  • Maintenance of filing system and ensure information management systems and policies are adhered to, including Social Media, GDPR and Data Protection Act 2018.

Safeguarding

  • To adhere to all diocesan Safeguarding policies and practices.
  • Own safeguarding training to Basic Awareness Level C1.
