We’re looking for an Executive Assistant to the Vicar of Preston!

Team members at Preston Minster are called to be flexible. While holding responsibility for the EA role, team members are expected to be actively involved in the life of Preston Minster beyond their area.

Working alongside others, the Executive Assistant to the Vicar of Preston will enable the Vicar to flourish in his ministry by excelling in administrative tasks, organising reports, actioning tasks, communicating with staff, the public and external stakeholders to ensure the ministry of Preston Minster runs smoothly.

To that end we are looking for someone who thrives in that enabling role but at the same time is able to keep a number of balls in the air, prioritise workloads and anticipate the unexpected.

Key Responsibilities

General Administration

  • Manage the Vicar of Preston’s calendar, schedule meetings etc.
  • Monitor and manage emails
  • Execute and update tasks listed in the Operational Year.
  • Organise, take minutes, and circulate action points for various meetings including; church council meetings, finance meetings, ministry heads meeting and any other ad hoc meetings.
  • Ensure the Minster is utilised and is prepared for receiving guests and appointments and regular meetings.
  • Co-ordinate external and internal communication on behalf of the Vicar of Preston.

External Relationships

  • Assist the Vicar of Preston in ensuring key stakeholders are updated on the ministry of Preston Minster inc. donors, the diocese, church Commissioners and civic leaders.
  • Liaise with external speakers/guests ensuring they are looked after during their time at Preston Minster.


  • The EA will be expected to carry out various basic financial admin tasks such as submitting expenses, writing budgets, relating on a regular basis with the Financial Officer.
  • Ensure new donors are thanked.

Safeguarding admin

  • Working with the Parish Safeguarding Officer to o Manage safeguarding processes
  • Ensure DBS checks / identity checks are done
  • Handle Safeguarding enquiries, dealing with Safeguarding incident reports, redirecting to and advising Safeguarding officer where necessary
  • Maintain Safeguarding training database, making sure all staff/volunteer competence is current, organising refreshment of competence where necessary

Extra Responsibilities

  • Management of external contractors to ensure upkeep of Rectory
  • Organising retreats and ministry trips.

The salary offered is £23k-£25k depending on experience
