The Diocese of Bristol includes the thriving and diverse city of Bristol, the expanding towns of South Gloucestershire, Swindon with its proud manufacturing heritage and the villages of North Wiltshire. The population of over a million is served by 202 churches in 166 parishes and 200 clergy, 115 of them stipendiary and 70 Church schools

The Bishop of Bristol, who was enthroned in October 2018, has significant responsibilities beyond the diocese as a member of the House of Lords and a Church Commissioner. Her staff team includes two Archdeacons (Christopher Bryan and Neil Warwick), a Director of Ministry Development (Simon Taylor) and a chaplain (Martin Gainsborough) who have recently been recruited. The Bishop of Swindon, Lee Rayfield, has his own office in Swindon. The Diocesan Secretary, Oliver Home, leads the staff team at the Diocesan Office in Stoke Gifford. The Cathedral, located in central Bristol, is overseen by the Dean David Hoyle.

The parishes are committed to creating connections with God, with each other and with their communities and there has been recent and significant investment in new churches in central Bristol and in Swindon.

The Bishop’s house and office are in Winterbourne in South Gloucestershire, two miles from the Diocesan Office and Bristol Parkway station.

The post of Executive Assistant is a newly created senior post with responsibility, in collaboration with the Bishop’s Chaplain, for the day to day work of the Bishop’s office. The post holder will be integral to the many different facets of the Bishop’s role and the workings of the diocese of Bristol and the Church of England

As Executive Assistant, you will be responsible to the Bishop for running the Bishop’s office and workflows and you will work closely and collaboratively with the Chaplain, who has responsibility for the life of the Bishop’s chapel and supporting the work of the bishop in the wider diocese and nation. You will also be responsible for the oversight of the secretary, part time gardener and cleaners.

To be successful, you will need superb communication skills and the ability to build excellent working relationships. You will also need proven administrative, office management and diary management skills and the ability to enable others to deliver the highest standards of service.

Key Tasks

  • The management of the Bishop’s Office, ensuring that visitors are received hospitably and that work is tracked and completed on time
  • First sight of written correspondence, liaising as appropriate with the chaplain, the office of the Bishop of Swindon and other diocesan staff
  • The management of the Bishop’s diary and travel arrangements
  • When requested, the drafting of correspondence, presentations and reports and the taking of minutes
  • The development and maintenance of proper electronic and paper filing systems, information management systems and other records
  • The oversight of confidential (blue) clergy files in line with House of Bishops guidance, liaising with the secretary, the chaplain and bishops as necessary
  • The oversight (with the chaplain) of the processing of complaints, liaising with the Registrar and Diocesan HR managers as necessary
  • The management of the Bishop’s accounts and liaison with and reporting to the relevant Church Commissioners staff
  • The management of IT, heating and lighting accounts ensuring best value and compliance with the diocesan and national environmental policies
  • Supporting the administration of the Bishop’s House including liaison with the Church Commissioners agent
  • Supporting the Bishop’s ministry of hospitality liaising closely with the Bishop and her husband.

The Requirements :

  • Emotional and intellectual intelligence
  • Experience of working as a senior PA or equivalent
  • Sympathy with the values of the Church of England and with the Diocesan Bishop
  • Familiarity with, or willingness to learn, the geography and cultures of the diocese
  • Excellent communications skills and good and accurate written and spoken English
  • Experience of taking responsibility for running an office
  • Proven collaborative skills alongside ability to take initiative and work with minimal supervision
  • Excellent administrative, office management and diary management skills
  • Proven financial management and bookkeeping skills
  • Ability to develop office systems in response to changing working practices and technology
  • Ability to focus under pressure, to meet deadlines and attend to detail
  • Ability to understand and operate accurately formal and legal procedures
  • Knowledge of safeguarding, employment, health and safety and data protection systems.
  • Excellent IT skills
  • Good level of education or equivalent
